About the Role
Are you a proactive and organized professional with a knack for maintaining efficient office operations? LEGEARD STUDIO, a renowned architectural studio located in New York City, is seeking a detail-oriented and dynamic Office Administrator to join our team. This role plays a pivotal part in ensuring the smooth functioning of our office environment, supporting our team, and facilitating day-to-day operations.
Key Responsibilities
- Administrative Support: Provide general administrative support, including managing emails, phone calls, correspondence, and handling inquiries from employees, clients, and vendors.
- Scheduling and Calendar Management: Schedule meetings, appointments, and conference calls, and ensure that calendars are well-organized and up-to-date.
- Facilities Management: Maintain the office space by coordinating cleaning services, overseeing repairs and maintenance, and ensuring that the office is well-equipped and functional.
- Supplies and Inventory Management: Manage office supplies, order new supplies as needed, and ensure that there's an adequate inventory of necessary items.
- Budgeting and Expense Management: Assist in creating and managing budgets for office-related expenses, tracking spending, and ensuring expenditures stay within budget.
- Human Resources Support: Assist with onboarding new employees, preparing employment contracts, managing personnel records, and helping to organize company events.
- Travel Arrangements: Coordinate travel arrangements for employees, including booking flights, hotels, and transportation.
- Document Management: Organize and maintain important documents, files, and records, ensuring that information is easily accessible and properly stored.
- Communication: Serve as a point of contact for internal communication, disseminating important information to employees and ensuring everyone is informed about company news, policies, and updates.
- Office Policies and Procedures: Help establish and enforce office policies and procedures to ensure a productive and harmonious work environment.
- Event Planning: Plan and organize company events, meetings, workshops, and other gatherings.
- Vendor Management: Interact with vendors, negotiate contracts, and ensure that services provided are up to expected standards.
- Health and Safety Compliance: Ensure the office environment complies with health and safety regulations by conducting safety inspections and implementing necessary measures.
- Technology Support: Assist with basic IT-related tasks, such as troubleshooting minor technical issues, coordinating with the IT department, and helping new employees set up their workstations.
- Team Coordination: Collaborate with various departments to ensure effective communication and coordination across the organization.
- Employee Services: Handle employee-related services such as coordinating employee recognition programs, wellness initiatives, and employee assistance programs.
Qualifications
- Proven experience in office management or administration, preferably in a professional services environment.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
- Bachelor's degree in Business Administration, Office Management, or related field is preferred.
